Every research study needs participants, but recruiters know finding, choosing and working with participants is its own science. Luckily, we have 10 powerful Respondent features that make research recruitment easier. Whether you’re new to the platform or a seasoned veteran, there’s something here for you.

Setting up Projects in Respondent

All Respondent participants are already verified and vetted, so you can focus on finding an audience to best fit your needs.

1. Find your target audience.

First you need to know the difference between industry professional and general population participants. Industry professionals take the extra step to confirm their employment by registering a work email with a domain that matches their company’s domain. General population participants are still vetted but haven’t confirmed employment yet.

 

2. Narrow down general population participants.

Use topics to connect with like-minded participants. Participants choose up to five topics that they’re interested in. You then select the general population as your target audience, and add up to two topics. Just begin typing topics or scroll on the drop down menu for the right one. Participants who marked the same topics will be right at your fingertips.

Even more, Respondent uses topics to promote your projects on the participants’ dashboard, delivering you participants who are especially excited to be part of your research.

 

3. Target industry professionals by industry, job title and company size.

Say you choose to target industry professionals instead. Your options show up on the next page: Audience. Industry professionals choose up to five industries related to their expertise, and as a researcher you view participants by their selected industries. Further narrow down participants by job titles within those industries, and even view participants’ company sizes.

 

4. Qualify participants with screener questions.

Screener questions are the most important part of project set-up. You can ask unlimited questions, but we recommend a sweet spot between eight and 12 questions. Style questions as single select, multi-select, written response and sliders. Easily add your Q-and-As by typing them in, or copying and pasting in batches. ‘Other’ answers allow participants to type their own comments.

Save time with qualification logic in your screener. Qualify and disqualify participants based on answers to your questions. Skip logic can also be used to take participants to different questions based on their answers.

Viewing and Organizing Participants

So your project is published, launched and out in the world. Great job! … Now what?

5. Organize your respondents.

Respondents will appear in the participants menu. There, use the array of filters to sort and view participants, or even search by name or job title. Should you need, you can also disqualify participants, hide them or report misbehavior. For more detail on respondents, click a participant’s profile card to view employment information, screener response, demographics and participation history.

6. Message your participants.

Access the messages tab via profile cards too. In the messages tab, manage and start new conversations, including group chats. In chats, you can even attach files. We recommend messaging exclusively through Respondent’s easy and secure system to protect your contact information and control the conversation. Only researchers can initiate discussion. Respondent also texts and emails notifications to participants to ensure your communications go through.

7. Invite your participants.

Congratulations on finding your perfect candidate. Click invite and select the calendar where they book their time. You can also integrate meeting service links like Zoom, and include instructions and materials for the meeting.

Once a candidate accepts your invite, they appear in your bookings menu. In the bookings menu, cancel or resend invites as needed, and view participants’ profiles and screener responses via their name and the blue hyperlink.

After the project, you mark participants as attended, which sends them right to your payments menu. There you confirm payment amount and even tip for great work. But don’t worry, you can look forward to more payment information in feature nine. 

Managing Your Organization

Now you’re a participant management expert. Let’s manage your organization with the manage organization menu.

8. Organize teams in the manage organization menu. 

Each organization houses teams with unique settings, details and members. In the manage organization menu, you can manage organization users, as well view and add teams.

To create a new team, visit the browse teams tab and click the new team button in the upper right corner. Name the team, and add the description and image or save it for later. Click done, and there’s your team! To navigate teams, click switch teams and choose one. You’ll land on the team’s project dashboard. 

Managing Billing Information

9. Manage payment information for teams.

Let’s dive into that billing menu now. In the billing menu, manage your credits, add new ones, and even transfer between teams. Account admins and team admins can add company credit cards, view a list of receipts and customizable spending reports, and view how much the team has spent per project or time period.

So you need to transfer credits between teams. Go to billing and click the transfer credits tab, then select the originating and receiving teams. Enter the amount of recruitment credits, which will be applied to the recruitment service fee. On the other side, incentive credits are applied to the participants’ incentive payment. Then transfer is easy as double checking those details and clicking the transfer credits button.
